Privacy Policy
Your privacy matters to me. This page explains what personal information I collect when you contact me or work with me as a client, why I collect it, how I keep it safe and what your rights are. It sits alongside my counselling agreement.
Who I am
I am Guy Harries, an integrative counsellor in private practice. I am the data controller for the information I hold about you, which means I am responsible for looking after it. I am registered with the Information Commissioner's Office (ICO), registration number ZC025268, and I am a registered member of the British Association for Counselling and Psychotherapy (BACP), membership number 415323.
What information I collect
Depending on our contact, I may hold your name and contact details, your emergency contact and GP details, brief notes from our first enquiry or assessment, clinical notes I make during our work together, and records of appointments and payments. Some of this is health information, which is treated as special category data and given extra protection under data protection law.
Why I collect it and my lawful basis
I collect this information so I can offer you a safe and professional counselling service, arrange and manage our sessions and meet my professional and legal obligations.
My lawful basis for handling your personal data is the performance of our counselling contract (Article 6(1)(b) of the UK GDPR). Because health information needs an additional basis, I rely on the provision of health care (Article 9(2)(h)), as a counsellor bound by a professional duty of confidentiality.
How I keep your information safe
I keep your information secure and accessible only to me. Paper records are kept locked away, and any electronic records and devices are password protected. I take reasonable steps to make sure your information is not lost, misused or seen by anyone who should not have access to it.
How long I keep it
I keep your personal information and clinical notes for seven years after the end of our therapy. After seven years I securely destroy everything I hold about you.
Who I share it with
Your information is confidential. I discuss my work in clinical supervision, which my professional body requires, and I keep any reference to you as anonymous as possible. I will not share your information with anyone else unless one of the following applies:

I am sufficiently concerned that you may seriously harm yourself or another person

A child or vulnerable adult is at risk of harm

The law requires me to disclose information, for example relating to acts of terrorism, or drug or people trafficking

I am served with a witness summons or court order to give evidence

In the event of my sudden incapacity, a professional executor would take responsibility for my clients and would be told their identity. Executors are bound by the same rules of confidentiality.
Wherever possible I would talk to you about any disclosure first.
Your rights
Under data protection law you have the right to ask for a copy of the personal information I hold about you, to ask me to correct anything inaccurate or incomplete, to ask me to delete your information where there is no legal or professional reason for me to keep it, and to ask me to restrict or object to how I use it. To make a request, please email me at guy.harries.therapy@gmail.com. I will normally respond within one month.
This website
My website is hosted by Wix, which uses cookies to help the site function and to provide basic analytics. You can manage cookies through your browser settings and through any cookie banner shown on the site. The site also has a booking form so you can request or arrange appointments. It collects your name and contact details along with anything you choose to tell me about what you are looking for, and this comes to me so I can respond. The form and the site are run through Wix as my website host.
Complaints
If you are unhappy with how I have handled your personal data, please tell me first so I can try to put things right. You also have the right to complain to the Information Commissioner's Office at www.ico.org.uk.
Changes to this notice
I review this notice from time to time and will update it if how I handle your information changes.
